Automatic invoicing
With automation on, Invoice Inn creates an invoice for every order when it is paid or fulfilled, a credit note for every refund, and a supplementary invoice for charges added after the invoice. Nothing is rewritten: every correction is a new document, so the numbering stays unbroken. It works on every plan, including Free, and runs from the moment you turn it on.
The Automations page
Section titled “The Automations page”Automations is a page of collapsible cards, each with an On or Off badge. This section covers the first card, Invoice generation, and the Needs action view on the Orders page that catches what automation leaves undone.
Invoice generation holds four settings. Create invoices automatically with its Create invoices choice, When the order is paid or When the order is fulfilled, decides when the first invoice for an order is made. Automatically handle order changes decides whether refunds and order edits after that invoice get their own credit note or supplementary invoice. Invoice link in Shopify emails gives you a snippet for a download link in your Shopify notification emails. Skip orders that… keeps tagged orders and POS orders out of automatic invoicing.
The other cards on the page, Email delivery, Email content & language, Email branding, Scheduled exports and Integrations, set up customer emails, daily, weekly or monthly archives and Google Drive or Dropbox sync. Customer emails have their own section, Customer emails, and scheduled exports are covered in Schedule automatic exports.
What automation never does
Section titled “What automation never does”- It never changes a document that was issued. A refund gets a credit note, an added charge a supplementary invoice, and the original invoice stays as it was.
- It never recreates an invoice you deleted. Once every document of an order is deleted, the order is left alone until you create a new invoice yourself from Orders.
- It reacts to payments, refunds and fulfillments that happen after you turn it on. An order that has had no such event since, including most orders placed before you installed the app, stays on Orders, where Create invoice works for it.
- It never runs past your plan’s monthly document limit. When the limit is reached, generation pauses until the count resets on the first of the month or you upgrade.
