Set up e-invoicing

An e-invoice needs a few details that a PDF does not, such as your address split into separate fields, a contact person and an electronic address. You enter them once on the E-invoicing card on Automations, and every e-invoice uses them. E-invoicing is available on the Pro plan and above, for businesses established in Germany.

  • Your plan is Pro or Premium.
  • Under Customize > Business details, Country of establishment is Germany and Legal business name is filled in.
  • You have a VAT ID (USt-IdNr) in VAT number, or a Steuernummer, which you enter in the e-invoicing details below. With only a Steuernummer, e-invoices also need your company registration number (Handelsregister) in Registration number.
  1. Open Automations and expand the E-invoicing card. The badge reads Needs details until everything is filled in.
  2. If the card shows Start from your business details, click Use business details. It copies your address, contact details and email into the empty fields. Check how the address was split into street, postal code and city.
  3. Under Business address, fill in Street and number, Postal code and City. The country comes from Business details.
  4. Under Tax number, enter your Steuernummer if you have no VAT ID. Leave it empty if you have one.
  5. Under Contact, fill in Contact name, Phone and Email.
  6. Under Electronic address, leave Type on Email and enter the address where customers’ systems can reach you in Address, usually your invoicing email.
  7. Under Bank account, enter your IBAN and BIC. The IBAN is only needed for invoices that are not paid yet, so the customer can pay by bank transfer.
  8. Click Save in the top bar. The badge changes to Ready.

The Your details list at the end of the card ticks off what is in place. Your customer’s details are checked separately, for each document.

Once the badge reads Ready, create your first e-invoice. If you change these details later, e-invoices created or edited from then on use the new ones.
