Edit an invoice after it was issued
You can change the date, the customer’s details and the footer note of any issued document. The line items, amounts, VAT and the document number cannot be changed, because the document is stored exactly as it was issued. A wrong amount is corrected with a credit note or a new invoice, not by editing.
Edit a document
Section titled “Edit a document”- Open Documents and find the document. The search box finds it by customer or order name.
- Click Edit on its row (the pencil icon). The dialog is titled with the document number, for example “Edit INV-0042”.
- Change what you need. Under Document date there is the Date field and, on invoices, the Due date field, plus a Date of supply field when the date of supply is turned on and a PO number field when the PO number is. Save stays disabled until you change something. Under Customer credentials you can edit Name, Company name, Street, City, Postal Code, Country, VAT ID, Registration Number, Phone and Email. Under Footer, Notes holds text printed at the end of this one document; it can be changed but not emptied.
- Click Save. You will see “Document updated successfully”.
Either a name or a company name is required, so you cannot clear both.
What you cannot edit
Section titled “What you cannot edit”Products, quantities, prices, totals, currency, the document type and the document number are fixed. If the customer was overcharged, refund the order in Shopify and the app issues a credit note. If the invoice itself is wrong, delete it and generate a new one from Orders; the new document gets the next number in the sequence.
What happens when you save
Section titled “What happens when you save”- The PDF is regenerated with the same document number, and the stored file is replaced.
- A VAT ID you entered or changed is checked against VIES again, and the B2B badge is re-evaluated from the company name and VAT ID. A credit note or supplementary invoice keeps the tax treatment of the invoice it belongs to, so editing one never changes its VAT.
- The copy in Google Drive or Dropbox is replaced with the new file.
- The customer receives the corrected copy only if Re-send when a document is updated is ticked under Automations > Email delivery, and email delivery is on. Otherwise send it by hand with Send via email on the row.
