Change the document date

A document is dated the day it was generated, in your store’s timezone, not the day the order was paid or refunded. You can change the date of any single document from its Edit dialog, and you set the timezone and the date format once under Customize > Localization.

  1. Open Documents and click Edit on the document’s row.
  2. Under Document date, pick a new date in the Date field. Any past or future date is accepted.
  3. Click Save. The PDF is regenerated with the new date and keeps its document number.
  1. Open Customize and switch to the Localization tab.
  2. Under Timezone, choose your store’s timezone. The app prefills it from Shopify when you first set up, and the list covers UTC and the European zones.
  3. Under Date format, pick one of the six samples, for example “06.09.2025” or “September 6, 2025”. Month names print in the document language.
  4. Click Save.

The issue date prints in the document header in the format you chose. A credit note also prints the date of the invoice it refunds. The same date is what the Document date filter on the Documents page, the CSV and OSS exports and the scheduled exports go by, and the {{date_of_issue}} variable in PDF file names.

  • Automatic documents are created within moments of the payment, fulfillment or refund, so the date normally matches the order event. A document you generate by hand later is dated the day you generate it.
  • The date tokens in a numbering format (DD, MM, YYYY) are filled in when the number is assigned, in the store timezone. Changing a document’s date afterwards does not change its number.
  • The timezone also decides which calendar day a document falls on for the export periods. The monthly document count is separate: it goes by the moment the document was created, in UTC, not by its date.
