How Invoice Inn works

Invoice Inn watches your Shopify orders and creates an invoice when an order is paid or fulfilled, a credit note when it is refunded, and a supplementary invoice when charges are added after the invoice. Every document is stored as a PDF exactly as it was issued and is never rewritten. This page explains that model and points to the article for each part, so you know which page to read.

What automation leaves undone is listed under Needs action on Orders, where a click creates the missing document. See Handle orders that need action.

  • Amounts and taxes come from the Shopify order. Invoice Inn prints the VAT Shopify charged and never calculates any itself, so a wrong or missing tax is fixed in Shopify. See Tax settings for Shopify stores.
  • Numbers come from your format under Customize > Content > Numbering. A number is assigned once, when the document is created, and never changes. See Change your invoice numbering.
  • The date is the day the document was created, in the timezone set under Customize > Localization, and can be changed per document. See Change the document date.
  • Seller details, look and language come from Customize. The company in Business details, the template and logo in Design, the document language and date format in Localization. See Set up Invoice Inn.
  • Customer details come from the order. The Edit dialog on a document lets you fix the name, address, VAT ID or date, and regenerates the PDF. Amounts are never edited by hand. See Edit a document.
  • Home shows how many documents you have used this month, whether automation is on, and shortcuts to the settings.
  • Orders lists your Shopify orders with their documents, and the Needs action tab.
  • Documents lists every invoice and credit note with download, email, edit and delete actions, and the export menu. See Invoices and credit notes.
  • Customize holds the company details, numbering, columns, design and language.
  • Automations holds invoice generation, customer emails, scheduled exports and cloud sync. See Automatic invoicing.
  • Exports lists the archives scheduled exports have built. See Export your documents.
  • Pricing plans shows your plan and usage. See Plans and billing.
  • By email, automatically. With Email delivery on, every invoice and credit note goes to the customer as a PDF when it is created. See Customer emails.
  • By email, when you choose. Send via email on any document sends it to an address you type.
  • From Shopify’s own emails. A snippet adds a download link to your shipping confirmation email. See Add an invoice link to Shopify order emails.
  • As files. One PDF, a ZIP or CSV of a selection, a whole month, or a scheduled archive. See Export your documents.
  • It does not calculate tax or override what Shopify charged.
  • It does not rewrite an issued document. A correction is a credit note or a new invoice, so the numbering stays unbroken.
  • It does not invoice orders placed before you installed it on its own. You create those from Orders.
  • It does not send payment reminders or track whether an email was opened.
  • It prints documents in one language per store. Only the customer email follows the customer’s language.
